To use AI in Outlook calendar, start with Copilot, which is built into new Outlook for Windows and Outlook on the web for work and school accounts. Open any event and turn on If conflicts arise, let Copilot reschedule this event, open a meeting to see Prepare for this meeting, or press Alt+i in an invite description to draft an agenda. If you don't have a Copilot license, or you want a second opinion on your week, connect the Outlook Calendar app in ChatGPT or put an AI calendar such as Reclaim on top of Outlook.
This guide is about running the calendar you already have: fixing clashes, getting ready for meetings and protecting time. Booking a meeting with someone else is a separate job, and our guide on how to use AI to schedule meetings walks through Copilot's chat scheduling, Schedule with Copilot from an email thread, Gmail and Calendly. Every step below was checked on October 29, 2026 against Microsoft Support, Microsoft's Outlook blog, OpenAI's help center and Reclaim's help center. We have not run these features on a live Microsoft 365 tenant ourselves, so if a label on your screen differs, search Microsoft Support for the feature name.
What you need before you start
Most of the AI in Outlook calendar comes from Microsoft, and it has three requirements worth checking first.
- A work or school account. Microsoft's Copilot in Outlook FAQ says chatting with Copilot in Outlook needs a work or school account on new Outlook for Windows or Outlook on the web. Copilot features run on your primary Exchange Online mailbox, and they are not available on group mailboxes or mailboxes hosted outside Exchange Online.
- The right license for the feature. Some calendar features are part of Microsoft 365 Copilot, and Microsoft's Insider blog says automatic rescheduling is rolling out to people with a Microsoft 365 Copilot Enterprise license. The newest agent features sit in Microsoft's Frontier preview program (more on that below).
- New Outlook, not classic. The calendar features in this guide are documented for new Outlook for Windows, Outlook on the web and, in some cases, the calendar inside Teams. Meeting prep also works on Mac and mobile.
If you only have a personal Outlook.com account or classic Outlook, skip ahead to the ChatGPT and Reclaim sections, which work with Microsoft accounts directly.
| Feature | Where it lives | What it needs |
|---|---|---|
| Automatic rescheduling | Event form toggle | Microsoft 365 Copilot license, new Outlook or web or Teams |
| Prepare for this meeting | Top of the meeting form | Copilot user; admin must leave Meeting Insights on |
| Draft an agenda | Invite description, Alt+i | Copilot in Outlook |
| Calendar agent prompts | Copilot chat | Frontier preview program |
| ChatGPT Outlook Calendar | ChatGPT Plugins | Microsoft sign in; work accounts may need admin approval |
| Reclaim on Outlook | Reclaim web app | Free Lite plan or paid plan |
Let Copilot reschedule conflicts for you
This suits a recurring one on one that can float. You tell Copilot which days and times are acceptable, and when something more important lands on top of the event, Copilot moves it for you.
Microsoft's automatic rescheduling help page gives these steps for new Outlook for Windows, Outlook on the web and the Microsoft 365 Calendar in Teams:
- Create a new event or series, or open an existing one.
- Turn on If conflicts arise, let Copilot reschedule this event.
- Pick your acceptable days and times. Microsoft calls this optional but says you get better results when you set it.
Copilot only acts when a real conflict appears later: when you accept a new event at the same time, or when you schedule or move another event onto it. Only events marked Busy or Out of office count as conflicts, so a Tentative meeting on top won't trigger a move. When there are several free slots, Copilot picks the one nearest the original time within the window you chose.
It also has firm limits. It works only for personal appointments and meetings with you and one other person. Copilot stops managing an event if more than one attendee is added (rooms don't count), if the event runs longer than 5 hours or is all day, if it sits on a secondary or shared calendar, or if the other person declines. It gives up after 5 failed attempts to find a time, and after an event has been moved 5 times. Monthly series on a fixed date, such as the 3rd of every month, aren't supported either.
Two details matter for etiquette. The other person isn't told that Copilot moved the meeting; they get a normal meeting update. And turning the option on for an existing meeting without other changes does not send them an update. Check what Copilot did in the Outlook notifications pane, where it reports successful moves, failed moves and events it can no longer manage.
Get a briefing with Prepare for this meeting
The second feature works before a meeting rather than around it. Microsoft's Prepare for your meeting page says Copilot can summarize related documents, tasks, emails and chats inside the meeting form.
- Open the calendar in Outlook on the web or new Outlook for Windows.
- Open the meeting. The Prepare for this meeting content appears at the top.
- Select Show more for the full insights, or pick a suggested prompt to continue in Copilot chat.
You can also select a meeting in the calendar and click the Prepare for this meeting button to start in chat. Microsoft's accessibility guide says the summary is organized into sections such as Overview, Tasks, Actions, Recap and Topics, depending on what's available.
Set your expectations by the meeting type. Microsoft says the summarized insights are only available for one on one meetings and meetings with related content to summarize. A meeting with no shared documents and no earlier emails or chats between the attendees may get a generic answer. Copilot only summarizes content you already have access to, so two people in the same meeting can see different briefings. If the button never appears for anyone in your company, an admin may need to turn on Meeting Insights in the Microsoft 365 admin center under Search & Intelligence.
Draft an agenda inside the invite
Open a new or existing meeting, add a title and attendees, scroll to the description and select the Copilot button or press Alt+i. Choose Auto draft an agenda or type your own prompt, then keep, adjust or retry the result. Microsoft's agenda help page covers the full steps, and our scheduling guide explains how Schedule with Copilot builds a whole invite, agenda included, from an email thread.
A prompt with the goal and the decision you need works better than a bare title. For example: "Thirty minute agenda for Friday's launch check. Cover open blockers, owners and a go or no go decision."
Ask the Copilot calendar agent to manage your week
On April 27, 2026, Microsoft's Outlook team announced agent features for email and calendar. Based on your preferences, the post says Copilot can respond to meeting invites, resolve one on one conflicts by rescheduling, rebook meeting rooms and block focus time. It can also reschedule or cancel meetings and update details when you ask in chat or in the meeting form.
Microsoft's own example prompts show the style:
- "Schedule a weekly 1:1 with my manager for Monday afternoons. Reschedule when conflicts occur."
- "Reschedule all of my 1:1s with my direct reports for next week to the Friday afternoon that week."
- "Review my calendar next week and recommend which meetings I should decline, follow, delegate or convert to async."
The catch is access. The post lists these calendar features as available through the Frontier program for Outlook for Windows and web, starting April 27. Microsoft describes Frontier as early access to preview features. At work you need a Microsoft 365 Copilot license and an organization that has opted in, so ask your IT admin. Microsoft also says access and any usage based costs vary by feature, role and subscription.
Start with suggestions (ask it what to decline) before you let it act.
Connect ChatGPT to your Outlook calendar
If your company doesn't pay for Copilot, or you live in ChatGPT anyway, OpenAI's Outlook Calendar app gives it access to your events. To connect it, open Settings > Plugins in ChatGPT, select Outlook Calendar, install it and sign in with the Microsoft account that holds the calendar.
According to OpenAI's Outlook Email and Calendar help page, the app can return event details (title, times, location, description, attendees), filter by date, keyword or person, read basic availability and read shared or delegated calendars you already have access to. Creating, updating, accepting, cancelling or deleting events is listed for supported shared calendars when the needed permissions and actions are turned on. OpenAI also notes that supported actions can differ between personal, shared and delegated calendars, so treat it mainly as a reader and planner.
Good prompts from OpenAI's examples include "What is on my schedule this afternoon?" and "Summarize my next three meetings, including attendees and locations."
Work accounts add one hurdle. Some actions need Microsoft Graph permissions that a Microsoft Entra administrator must approve for the whole organization, and a workspace admin may limit which Outlook domains can connect. If you use an iCloud calendar too, our guide on how to connect iCloud to ChatGPT covers Apple's version.
Put an AI calendar on top of Outlook
The third route is a separate AI planner that writes events into Outlook. Reclaim is the closest fit: its Outlook help article says it works with Outlook Calendar exactly as it does with Google Calendar, with Focus Time, Habits, Smart Meetings, Buffer Time, Scheduling Links and calendar sync. Reclaim's Outlook integration page lists Microsoft 365, Outlook.com and Exchange backed accounts, and says personal calendars can sync into a work calendar as private Busy blocks.
Two limits from Reclaim's help: hosted or on premises Exchange accounts can't be connected, and if your company restricts third party apps you'll see "Admin Approval Needed" until your Microsoft 365 administrator approves Reclaim.
Other planners connect to Outlook too. Motion schedules tasks and projects into your calendar, Morgen drafts a daily plan for you to approve and Akiflow lets you time block tasks on Outlook. Our best AI calendar planner guide compares them, and Motion vs Reclaim goes deeper on the top two.
Which option to pick
- Your company already pays for Microsoft 365 Copilot: turn on automatic rescheduling for floating one on ones and use Prepare for this meeting before important calls. Ask IT about Frontier if you want the calendar agent.
- You have Copilot Chat but no Copilot license: use ChatGPT's Outlook Calendar app or Copilot chat for questions about your week, and draft agendas by hand or with a chatbot.
- You want focus time and habits defended every week: add Reclaim on top of Outlook. Its free Lite plan is a low risk way to try it.
FAQ
Is there an AI calendar assistant for Outlook?
Yes. Copilot is Microsoft's own AI calendar assistant for Outlook, with automatic rescheduling, meeting prep, agenda drafting and, in the Frontier preview, an agent that can manage invites and focus time. Outside Microsoft, ChatGPT's Outlook Calendar app reads your events, and Reclaim, Motion and Morgen plan time directly in an Outlook calendar.
Why don't I see the Copilot reschedule option on my event?
Check that you are in new Outlook for Windows, Outlook on the web or the Teams calendar, and that you have a Microsoft 365 Copilot license. The option also doesn't apply to meetings with more than one other attendee, events longer than 5 hours, all day events or events on a shared or secondary calendar.
Does Copilot tell the other person it moved our meeting?
No. Microsoft says attendees aren't told that Copilot rescheduled the meeting. They receive a regular meeting update, as if you had changed the time yourself.
Can I use AI in Outlook calendar with a personal account?
Microsoft documents the calendar features in this guide for work and school accounts. With a personal Microsoft account, connect ChatGPT's Outlook Calendar app or an AI planner like Reclaim, which lists Outlook.com among supported accounts.
Is Copilot in Outlook calendar free?
Some Copilot Chat features work in Outlook for eligible work accounts without the paid addon, but automatic rescheduling is rolling out to Microsoft 365 Copilot license holders and the calendar agent needs the Frontier program. Check with your IT admin which licenses your organization has.
