Yes, ChatGPT can take meeting notes, but only on a paid plan, and live note-taking only works in the ChatGPT desktop app for Mac. Record mode (Plus, Pro, Business, Enterprise and Edu) transcribes a meeting and writes a summary. The newer Meetings plugin (Pro and Business, in beta) adds action items and saves notes to ChatGPT Space. On Windows or the web, you can upload a recording instead.

That's three different features with three different sets of rules, and the names overlap. This guide explains what each one does, who can use it, the limits and privacy settings, and when a dedicated note taker is still the better choice. Three ways ChatGPT handles meeting notes

OpenAI now offers three routes. They suit different situations, so it helps to see them side by side before you pick one.

In plain terms: Record is the basic recorder most paying Mac users have. Meetings is the newer, smarter version for Pro and Business accounts. Audio uploads are the fallback when you recorded the meeting some other way, or you're not on a Mac.

Record mode: the basic option for Mac users

ChatGPT Record mode listens through your Mac's microphone and system audio, transcribes the conversation live and turns it into notes. According to OpenAI's ChatGPT Record help page, it's available for Plus, Pro, Business, Enterprise and Edu workspaces, only in the macOS desktop app, and it's included at no extra cost.

How to use Record mode

  1. Open the ChatGPT app on your Mac and click the Record button at the bottom of any chat.
  2. On first use, allow ChatGPT access to the Microphone and to Screen and System Audio Recording in System Settings, under Privacy and Security.
  3. Talk normally. A timer shows the elapsed time, and you can pause and resume.
  4. Click Stop, then Send to upload the transcript and generate notes. Choose Resume instead to keep recording in the same session.
  5. Edit the notes, or ask ChatGPT to turn them into an email, a project plan or another format.

What to know before you rely on it

  • Four-hour cap. Each session stops automatically at 240 minutes, and the notes are saved as a private canvas.
  • Speakers. Record can tell multiple speakers apart. When it can't identify someone, it labels them Speaker 1 and so on, and you can rename them afterward.
  • Language. OpenAI says Record works best in English, and accuracy in other languages varies.
  • Calendar auto-join is Google Meet only. If you connect Google Calendar, Record can start on schedule for events with a Google Meet link. For Zoom, Microsoft Teams, Webex and others, start it by hand.
  • Memory across chats. With "Reference record history" turned on in Settings under Personalization, ChatGPT can answer questions like "What did we decide in Monday's sync?" from past recordings.

If the Record button is missing, OpenAI's fix is to update the macOS app and check that you're signed in to an eligible plan. On Enterprise and Edu workspaces, Record is off by default until a workspace owner enables it.

The new Meetings plugin: notes with action items

The Meetings plugin is OpenAI's newer note taker. OpenAI's ChatGPT release notes list it under September 29, 2026, and describe it as a beta in the ChatGPT desktop app on macOS for Pro and Business users. The Meetings plugin help page says support for iOS, Android and Windows is coming soon, and Enterprise access is limited to an alpha program for now.

The difference from Record is what happens after the meeting. Meetings combines the transcript, your own typed notes and context from connected apps you've authorized, and uses ChatGPT Work to write a personalized summary with suggested action items. You can edit each action item and start it with one click, for example to draft a follow-up email or update a project plan.

How to set up Meetings

  1. Open the ChatGPT desktop app on your Mac and open Plugins in the sidebar.
  2. Find Meetings, install it and go through the onboarding steps.
  3. Allow microphone and system audio access when asked.
  4. Optionally, connect the Google Calendar or Outlook Calendar plugin to get reminders for upcoming meetings. You don't need a calendar to start taking notes manually.

To take notes, open Meetings, get everyone's consent, click Take notes, add your own notes to the meeting page as you go, and stop when you're done. Notes can take a few minutes to appear after you stop.

Useful details

  • It notices calls. Meetings can detect when you're in a call and offer to take notes, even if the meeting isn't on your calendar. It also reminds you to stop if it hears no audio for a few minutes.
  • It stops on its own when you close your laptop lid, after a long stretch without audio, or when a session reaches four hours.
  • Sharing is limited to notes. Meeting pages are private by default. If you share one, people can see the notes but not the transcript.
  • It's a separate feature. OpenAI says Meetings is separate from Record in the older ChatGPT desktop app. On a Business plan, both ChatGPT Space and the Meetings plugin must be enabled for your workspace.

No Mac? Upload the recording instead

On October 6, 2026, OpenAI added audio uploads to ChatGPT. Attach a recording to a chat and ask for a transcript, a summary, a list of decisions or a follow-up email. OpenAI's file uploads help page lists the details:

  • Plans: paid ChatGPT subscriptions and workspaces, including Enterprise. Audio uploads aren't available on the Free plan.
  • Formats: WAV, MP3, OGG, FLAC, AAC, M4A, PCM, and audio-only WebM or MP4. Files that are identified as video aren't supported, so export the audio track first.
  • Size: up to 512 MB per file. Longer recordings may be processed in sections, and very long ones may time out.
  • Accuracy: OpenAI warns that transcripts may contain errors and speaker identification may be unreliable.

This is the most practical route for Windows users today. Record the meeting with whatever tool your company allows, then upload the audio file. Availability can still vary by workspace settings, region, client version and model.

Free plan: what you can still do

Free accounts can't record meetings or upload audio. They can upload documents and text files, with a limit of three file uploads per day according to the same help page. So if your meeting app can export a transcript, save it as a text, Word or PDF file, upload it and ask ChatGPT to summarize it. Pasting the transcript into a chat works too, for shorter meetings.

A prompt that works well: "Summarize this meeting in five bullet points, then list every decision, every open question, and every action item with its owner and due date if mentioned."

Recording other people comes with responsibilities, and OpenAI puts them on you.

  • Consent. Both help pages tell you to check local laws and get consent before recording. The Meetings consent reminder only appears on your screen. It doesn't notify the other participants or collect their permission for you.
  • Audio storage. Record deletes audio after transcription. Meetings streams audio to OpenAI and deletes it from your Mac and OpenAI's servers once notes are ready, so you can't replay it. If you're offline, audio may sit on your Mac until it uploads.
  • Training. OpenAI says Record audio isn't used for training. But on Free, Plus and Pro accounts with "Improve the model for everyone" turned on, transcripts and canvases from Record may be used to train models. Turn that setting off if you don't want that. Business, Enterprise and Edu content is excluded from training by default.
  • Retention. Record notes and transcripts follow your normal chat retention. Delete the conversation and OpenAI removes them within 30 days, unless it's legally required to keep them.

ChatGPT or a dedicated AI note taker?

ChatGPT's note-taking makes the most sense if you already pay for it, use a Mac and want your meeting notes next to your other ChatGPT work. It's weaker on cross-platform support and on the extras that meeting tools specialize in.
